Total a week or a two-week pay period of clock-in and clock-out times, minus breaks, and see regular hours, overtime and gross pay.

Overtime is counted for each workweek on its own; hours aren't averaged across the two weeks.

How the time card calculation works

  1. Each day is out minus in, minus the break

9:00 to 17:30 with a 30-minute lunch is 8 hours. A shift that ends after midnight is counted to the next day automatically.

  2. Minutes become decimal hours for payroll

Payroll uses decimals: 7 h 45 min is 7.75 hours. Divide the minutes by 60 and add them to the whole hours.

  3. Hours over the weekly limit are overtime

Under US federal law (FLSA), non-exempt staff earn at least 1.5× pay for hours over 40 in a workweek. Some states, like California, also count daily overtime.

  4. Gross pay is regular pay plus overtime pay

Regular hours × rate, plus overtime hours × rate × the overtime multiplier. Taxes and deductions come off after this.

Worked example. Four days of 9:00–17:30 and one day of 9:00–16:00, each with a 30-minute break, totals 38.5 hours. At $20/hour that is $770 gross with no overtime.

Time Card FAQ

How do I calculate hours worked on a time card?

For each day subtract the clock-in time from the clock-out time, take off unpaid breaks, then add the days together. Convert minutes to decimals by dividing by 60.

How do I convert minutes to decimal hours?

Divide the minutes by 60. 15 minutes is 0.25, 30 minutes is 0.5, 45 minutes is 0.75. So 7 hours 45 minutes is 7.75 hours.

When does overtime start?

Federally, after 40 hours in a workweek for non-exempt employees. Some states add daily overtime, for example over 8 hours a day in California. Set the limit that applies to you.

How do I fill in a biweekly time card?

Set the pay period to 2 weeks and enter both weeks. Overtime is worked out for each week on its own, because federal law treats every workweek separately: 45 hours one week and 35 the next is still 5 overtime hours, not an average of 40.

Does this work for night shifts?

Yes. If the clock-out time is earlier than the clock-in time, the shift is treated as ending the next day, so 22:00 to 06:00 counts as 8 hours.

Are lunch breaks paid?

Federal law doesn't require paying meal breaks of 30 minutes or more where the employee is fully relieved of duty. Short rest breaks of 5–20 minutes are usually paid. Enter only unpaid break minutes.
