    How to make a receipt

    1. Add your business and who paid

Your name, address and contact details are shared with the invoice and estimate generators and remembered on this device.

    2. List what they paid for

One line per item or service, with quantity and price. Tick Taxable on lines that carry sales tax. Up to 10 lines fit on the one-page PDF.

    3. Enter the payment

Set the date paid and how they paid, such as card, cash or check. Leave Amount received blank for a payment in full, or enter a smaller amount for a partial payment.

    4. Download and send

The PDF is ready to email or print. "Start the next receipt" keeps your details and moves to the next number.

Billing first? Make an invoice, then turn it into a receipt when you're paid. Pricing a job? Start with the estimate generator. Mailing it? Print address labels.

    Receipt generator FAQ

    Is this receipt maker free?

Yes. There's no sign-up, no watermark on the PDF and no limit on how many receipts you make. The site is paid for by ads.

Is this a receipt template or a receipt maker?

Both. You fill in a ready-made receipt layout and it does the sums for you: line totals, sales tax, the total, the amount received and any balance left. You get a PDF, so there's no Word or Excel file to edit. Use it for payments your business actually received.

    What should a receipt include?

Your business name and contact details, a receipt number, the date paid, who paid, what they paid for with quantities and prices, any sales tax, the total, the amount received and how they paid.

What's the difference between a receipt and an invoice?

An invoice asks the customer to pay. A receipt confirms you've been paid. Send the invoice first, then a receipt once the money arrives.

How do I make a receipt for a partial payment?

Enter the amount you received in Amount received. The receipt shows the total, the amount received and the balance remaining.

How do I make a cash receipt?

Write "Cash" in Payment method, set Date paid to the day the money was handed over and leave Amount received blank if they paid in full. Download the PDF, give the customer a copy and keep one for your records.

Can I turn an invoice into a receipt?

Yes. In the invoice generator, use "Got paid? Make a receipt" under the download button. The receipt opens with the same customer, lines and tax rate, and a note naming the invoice it pays.

Can I use it for rent receipts?

Yes. Put your name or business as the payee and the tenant as the customer, and write the line as the rent period and address, for example "Rent, November 2026, 88 Cedar Ln". The rent receipt template at /pricing/rent-receipt-template/ starts with these filled in.

How long should I keep copies of receipts?

For US federal taxes, the IRS says to keep records for 3 years in most cases. Some need longer: at least 4 years for employment tax records, 6 years if you leave out income worth more than 25% of the gross income on your return, and 7 years if you claim a bad debt or a loss on worthless securities. Your state may set its own rules.

    Where is my receipt saved?

Only in this browser on this device, so it's still here if you reload. Nothing is sent to our servers. Keep the downloaded PDF for your records.
