How to fill in a contractor invoice

    1. Add your business and the customer

Put the job address in the customer address if it differs from where they get mail. Your details are remembered on this device.

    2. Replace the example lines

The template has 32 hours of labor at $65, $1,450 of materials, a $380 change order and $150 for haul-away, a $4,060 total. Type over them, delete what you don't need, or add lines, up to 10.

    3. Credit the deposit

Enter the deposit you took before the job in Amount already paid. With the example $1,200 deposit, the balance due is $2,860.

    4. Check the notes and download

Keep or edit the lien waiver note, pick your payment terms and add how to pay. Download the PDF and send it.

Price the job first with the contractor bid calculator or the labor cost calculator. Quoting before you start? Use the estimate generator, or the roofing estimate template for roof jobs. Once the customer pays, make a receipt. For a blank invoice, use the invoice generator.

    Contractor invoice FAQ

Is this contractor invoice template free?

Yes. There's no sign-up, no watermark on the PDF and no limit on how many invoices you make. The site is paid for by ads.

What should a contractor invoice include?

Your business name and contact details, the customer and job address, an invoice number, the issue and due dates, separate lines for labor, materials and any change orders, sales tax if it applies, the total, the deposit already received, the balance due and how to pay.

How do I show labor and materials on a contractor invoice?

Put them on separate lines. Bill labor as hours × your hourly rate, or as one price for the work. Bill materials as one line at your price, or one line per item if the customer wants the detail. The template starts with one of each so you can see the layout.

How do I bill a change order?

Give each approved change its own line, such as "Change order #1: closet shelving", with the agreed price. Get the change approved in writing before you do the work, and keep that approval with your copy of the invoice.

How do I show a deposit I already received?

Enter it in Amount already paid. The invoice shows the total, subtracts the deposit and shows the balance due. The template starts with an example $1,200 deposit.

What is a lien waiver, and why is it in the notes?

A lien waiver is a signed statement that the contractor gives up lien rights for a payment it has received. Customers and lenders often ask for one when they pay. The note only says you'll provide one on request. Rules and forms differ from state to state, so use the form your state requires or ask a lawyer before you sign one.

Do contractors charge sales tax on invoices?

It depends on your state and the type of job. Some states tax materials, some tax certain services, and some tax neither. Tick Taxable only on the lines your state taxes and enter your rate. Leave the rate at 0 if none apply.

    Where is my invoice saved?

Only in this browser on this device, so it's still here if you reload. Nothing is sent to our servers. Your business details are shared with the other invoice, estimate and receipt makers on this site.
